Most agencies know CV formatting takes time. Very few have ever put a number on it. We did, and the result is bigger than most people expect.
Ask any recruiter how long it takes to turn a candidate CV into a client-ready profile and you will hear “not that long”. Strip the contact details, move it onto the agency template, fix the fonts, rewrite the summary, add the recruiter’s notes. Fifteenminutes, perhaps.
Fifteen minutes feels small because it is spread out. A few CVs here, a few there, squeezed in between calls. It never shows up as a line on the P&L. But multiply it across a team and a month, and it becomes one of the larger hidden costs in a recruitment business.
A worked example: 15 recruiters, 250 CVs a month
Take a mid-sized agency with 15 recruiters. Between them they send 250 formatted CVs to clients each month. That is roughly 17 per recruiter, a modest figure for most desks.
| Manual formatting | With CV-Transformer | |
|---|---|---|
| CVs per month | 250 | 250 |
| Time per CV | 15 minutes | 3 minutes |
| Time per month | 63 hours | 13 hours |
| Staff cost (at £25/hour) | £1,562.50 | £312.50 |
| Software (15 users × £13) | – | £195.00 |
| Total cost per month | £1,562.50 | £507.50 |
With automation, the three minutes that remain are for checking the result and adding the recruiter’s own touch. The formatting itself happens in seconds.
What the numbers show
The agency in this example saves 50 hours and £1,055 every month, after paying for the software. Over a year, that is 600 hours and £12,660.
Put differently, 600 hours is nearly four months of one full-time recruiter’s working time. Not spent sourcing, not spent with clients, not spent closing placements. Spent moving text between templates.
For each individual recruiter it is just over three hours a month. That is easy to dismiss on its own, which is exactly why the problem stays invisible.
Run the numbers for your own desk
You do not need software to find out what formatting costs you. You need three numbers:
- How many CVs your team sends to clients each month.
- How many minutes a typical CV takes to format by hand. Time a few honestly, including the back-and-forth.
- What an hour of a recruiter’s time costs the business.
Then multiply: CVs per month × minutes per CV ÷ 60 × hourly cost. That is what manual formatting costs you every month, before anyone has spoken to a client.
Where CV-Transformer fits
CV-Transformer turns candidate CVs into client-ready profiles in seconds, using your agency’s own templates. Recruiters upload a CV, check the result and send it. The layout and branding are handled automatically.
For agencies on Bullhorn, it works directly inside the Bullhorn environment. There is no downloading, reformatting and re-uploading between systems, which removes a step that quietly adds minutes to every CV.
The point is not that formatting disappears. It is that recruiters spend their time on the parts that need a recruiter: judging the candidate, adding context the client cares about, and getting the profile in front of them first.
